Privacy policy.
Last updated October 2026. Socievy is a service that lets student societies, clubs and similar groups run their members, events, payments and certificates. This policy explains what information Socievy handles, who is responsible for it, and the choices people have.
1. Who is responsible for your information
Each society that uses Socievy decides why and how its members' information is used. For that information the society is the controller, and Socievy acts as the service provider that stores and processes it on the society's behalf.
For the accounts of people who register a society, and for the running of the platform itself, Socievy is the controller.
2. What we collect
Account details: name, email address, password (stored only in scrambled form) or the identity returned by Google when you sign in with it.
Information a society asks for: phone number, city, university or organisation, membership details, event registrations, answers to registration questions, attendance records, feedback, and certificates issued to you.
Payment records: the amount, the method and the transaction reference you enter, and the receipt image you upload. Socievy does not process card payments and does not move money.
Technical information: sign-in sessions, and basic logs needed to keep the service secure and working.
3. How it is used
To provide the service: creating accounts, registering for events, checking people in, verifying payments, issuing and verifying certificates, and sending notifications inside the app, and the account emails described below (sign-in codes, password resets and invitations).
To keep the service safe: preventing misuse, investigating problems and recording important actions in activity logs.
We do not sell personal information and we do not use members' information for advertising.
4. Who can see it
Each society's information is kept separate from every other society's. A society's administrators can see its members' information according to the roles they have been given.
Socievy staff may access information only when needed to run, secure or support the service, or to review a request to register a society.
A certificate can be checked by anyone who has its certificate ID. The check shows only the name, the event, the date and the issuing society.
5. Service providers
Socievy relies on providers for hosting, database and file storage, email delivery, and (if you choose it) sign-in with Google. These providers process information only to provide their service to us.
6. Where it is stored and for how long
Information is stored with our hosting and database providers. It is kept while the account or society is active and as long as needed for the purposes above. A society can ask for its data to be exported or deleted when it stops using Socievy, subject to records we must keep by law.
7. Your choices and rights
You can ask the society you belong to to correct, export or delete your information. If you cannot reach the society, contact Socievy and we will pass on or act on your request where we can.
Notifications from a society reach you inside the app only. We send email only for your account: sign-in codes, password resets and invitations.
8. Security
Access is controlled by sign-in and by roles. Administrators can turn on two-step verification. Files such as receipts are stored privately. No system is perfectly secure, so please use a strong, unique password.
9. Children
Socievy is meant for students and adults. Societies are responsible for obtaining any permission they need before registering people who are under the age of consent where they live.
10. Changes
We may update this policy. The date at the top shows when it last changed, and significant changes will be announced to society administrators.
